Overview

Our Dublin Facilities team is looking for junior facilities associate to join our facilities team. The facilities team is directly responsible for the design, build-out, maintenance and support of the firm’s critical infrastructure and all workplace facilities services. Reporting to our Facilities Manager, you will be involved and assist with all aspects in facilities. You will work closely with facilities team, contractors, and many internal multidisciplinary teams in ensuring business and operational needs are realised effectively and efficiently.

 

What you’ll be doing:

  • Assist with management of all technical services contracts and projects including but not limited to: MV/LV switchgear, UPS, sprinkler, generators, leak detection, HVAC, BMS, onsite technicians (Mech, Elec & general), security (access control, cctv), façade maintenance and many other services.
  • Assist with management of all elements of soft services (cleaning, catering, security, waste, landscaping, etc.) including setting out work schedules, maintaining EH&S information, financial analysis, quality control and vendor management.
  • Ensure operational, planned, and reactive maintenance activities are effectively scheduled and undertaken on time and in accordance with Statutory Legislation.
  • Developing long term planning and life cycle analysis for equipment
  • Assist in procurement of services by developing RFP, writing SLAs and periodically measuring KPIs for the services provided.
  • Assist with ensuring maintenance and project works are compliant with all Health & Safety legislation and company Health & Safety practices and procedures.
  • Analyse data from the computerized maintenance management system and highlight opportunities for further improvement.
  • Operate the facilities helpdesk function, ensuring all requests are actioned appropriately. To produce analysis trend maps.
  • Maintain accurate records of works completed and associated financial costs.
  • Assist with all electrical and mechanical construction projects in critical space.
  • Develop a network of support that assists in supporting the business requirements

What we’re looking for

  • 3rd Level Mechanical/Electrical/Building engineering or other relevant facilities qualification
  • 1 + years’ prior experience in facilities management
  • Strong project management skills, utilising the PDCA method throughout tasks and projects and the ability to work on multiple projects at once
  • Keen attention to detail and accuracy, as well as organization and time management skills.
  • This individual should be a self-starter and be able to work on their own initiative. Must have willingness and flexibility to roll-up sleeves and assist with any task that may come up
  • Excellent communication skills that facilitate teamwork and interaction with colleagues and internal multidisciplinary teams
  • Excellent customer service and dedication to enhancing the workplace for staff and visitors alike.
  • Demonstrate friendly and effective communication with a strong ability to communicate effectively verbally and in written format.
  • High proficiency in Microsoft Office Suite is essential
  • Some proficiency in AutoCAD
  • Ability to interpret electrical/mechanical drawings and schematics
  • Excellent customer service and people skills
  • Critical thinker, who strives for operational excellence
